About Phyllis Tuckwell Hospice Care 

Phyllis Tuckwell Hospice Care provides expert end-of-life care, support and understanding to patients and families across West Surrey and North East Hampshire. 

The charity recently opened a new hospice in Farnham, marking a significant milestone in its mission to support more people living with advanced and terminal illnesses. With 18 inpatient rooms, a wellbeing and rehabilitation centre, and facilities designed to support both patients and their loved ones, the new hospice will help the organisation increase the number of people it supports to 3,000 a year by 2040. 

As demand for hospice services continues to grow, Phyllis Tuckwell recognised the need to modernise its finance operations, ensuring its systems could support both current requirements and future ambitions. 

 

The Challenge

Like many growing charities, Phyllis Tuckwell was managing an increasing number of financial processes across a larger organisation. 

Its previous finance system relied heavily on manual authorisations and physical signatures, creating inefficiencies for teams that were frequently working away from the office and out in the communities they serve. The system was also not cloud-based, making remote access more difficult and limiting flexibility for staff. 

Reporting presented further challenges. Extracting data was often time-consuming, reducing the finance team’s ability to focus on analysis and provide timely insights to support decision-making. 

With the organisation growing in both size and complexity, it was clear a more modern and scalable solution was needed.

The Solution

To support its future growth, Phyllis Tuckwell implemented Microsoft Dynamics 365 Business Central. 

The cloud-based solution enabled the organisation to automate approval workflows and payment processes, significantly reducing reliance on paper-based administration. Staff could access the system securely from any location, providing greater flexibility and supporting a more agile way of working. 

Alongside Business Central, the organisation implemented Jet Reports to enhance financial reporting, making it easier to produce management accounts and gain deeper visibility into organisational performance. 

The familiar Microsoft interface and seamless integration with Excel also helped users adapt quickly and get more value from their financial data.

The Results 

Since implementing Business Central, Phyllis Tuckwell has transformed the way its finance team and budget holders work. 

Purchase orders and invoices can now be approved from any location, reducing turnaround times, improving engagement with processes and significantly cutting down on manual follow-up. 

The finance team has also benefited from improved visibility and easier access to information. Approval histories, supporting documents and financial data can now be accessed within a few clicks, making it easier to investigate variances and answer queries quickly. 

Training sessions have enabled budget holders to explore their own financial data, helping teams better understand their budgets and make more informed decisions. 

The introduction of Jet Reports has further improved reporting processes, allowing the finance team to spend less time gathering information and more time analysing it.
